Export Air Operations Specialist
Job Description:
- Coordinate and perform the operational functions of transporting air export shipments from the United States.
- Position entails working directly with clients and vendors to provide the highest level of service possible.
- Position requires the following skills or characteristics: ability to work in a team environment, maintain a positive attitude, ability to multi-task, and excellent communication skills.
Job Responsibilities:
With Clients:
- Interact with clients via the telephone and email to arrange for the exportation of merchandise in accordance with government regulations
- Educate clients about proper export regulations including completion of the Shippers Letter of Instruction
- Educate clients about certain country specific requirements (pre-inspection, legalization etc)
With International Agents:
- Communicate via the telephone and email to arrange for the delivery of cargo
- Assist department manager with requesting off-shore charges when required
- Prepare and send pre-alerts
- Assist with agent routed business when applicable
With Vendors:
- Contact airlines to book cargo and confirm space availability
- Contact inland carriers to arrange pickup of cargo and rate negotiation when required
- Preparation of shipping documents such as pickup alerts, delivery alerts, airway bills, manifests, and other pertinent shipping documents
With Management:
- Analyze current routings and offer suggestions to maximize profit
- Assist the Banking Department on complying to L/C shipments when applicable
Export Ocean Operations Specialist
Job Description:
- To coordinate with customers and vendors the cargo movement based on client requirements in the most professional, cost effective, efficient, profitable, and timely manner.
- Position requires the following skills and characteristics: excellent organization skills, ability to multi-task, work in a team-oriented environment, and calmly handle quickly changing priorities under tight deadlines.
Job Responsibilities:
With Clients:
- Request/receive/provide necessary information and paperwork
- Assist when needed in the tracking of cargo and send electronic mail updates
- Provide clients with updated information and services based on country specific requirements
- Provide clients dock receipts, shipper’s letter of instructions, and other miscellaneous shipping documents
- Educate clients about proper export regulations including completion of the Shippers Letter of Instructions
With International Agents:
- Communicate via email and telephone to arrange delivery of cargo and releasing documentation to other parties
- Send pre-alert to agents when applicable
- Assist with agent routed business when applicable
With Vendors:
- Contact steamship lines and inland drayage company’s to book cargo
- Confirm receipt of cargo by ocean vendors or container freight stations
- Preparation of shipping documents such as - pickup alerts, bills of lading, dock receipts, and other miscellaneous documents
- Ensuring accuracy for bills of lading created by steamship lines
With Management:
- Discuss routing and pricing on certain accounts
- Assist the banking department in preparation of Bill of Lading to conform to Letter of Credit or Documentary Collections
Import Operations Specialist
Job Description:
- Coordinate and perform the operational functions of transporting cargo into the United States by air and sea freight.
- Position requires the following skills and characteristics: team oriented, excellent communication skills, attention to detail, ability to multi-task, and calmly handle quickly changing priorities.
Job Requirements:
With Clients
- Provide clients with electronic mail updates as certain shipment milestones occur
- Provide the highest level of customer service possible regardless of the situation
- Educate clients about proper import regulations and compliance
- Inquire about product description to assist Customs Broker with classification
With International Agents:
Confirm shipment details and ready date via phone and email
- Advise instructions on how to route cargo based on your Manager’s decision
- Receive pre-alert documents and request other information if necessary
- Review agent debit notes for accuracy
With Vendors:
- Track cargo with airlines, steamship lines, and trucking companies by telephone and internet
- Assist local Customs Broker with tariff classifications when needed
- Negotiate spot rates when needed
With Management:
- Communicate service issues and concerns when required
- Listen and follow the instructions of the Pricing/Routing Manager to ensure cargo moves as quoted
- Follow instructions and guidelines from Import Operations Manager
